AI & Automated Analysis

Version 1.1 · Effective 21 October 2026

KaN uses AI for requested educational resources, suggestions, analysis and summaries. AI can be wrong. Relevant learner context or a whole selected file may be processed, so review what you provide, check permissions and check outputs before use.

Summaries are general information only and do not replace the full document below.

Where AI is used

AI assists with features such as generating worksheets and activities, drafting plans, analysing work samples or selected documents, identifying possible learning connections, and preparing summaries or reports from recorded evidence.

Different frameworks, different features

Australian Curriculum mode provides general learning observations, ideas, plans and summaries. KaN does not offer AI-generated Australian Curriculum mappings, codes, curriculum explanations or working ranges. Use the current official curriculum alongside your evidence.

Victorian Curriculum connections and working ranges are indicative and require review. EYLF and VEYLDF use early learning and development outcomes without school-style levels. General learning uses no formal curriculum mapping.

Do not paste Australian Curriculum source text into AI features or submit documents or work samples containing that material for AI analysis.

Information used for a request

Depending on the feature, AI may process your prompt, relevant learner details, learning records and evidence, saved context, and a file you select for analysis. Do not include unnecessary personal information in a prompt or file.

The optional learner-context setting controls use of the support-needs and accessibility profile for personalisation. When you enable it, the profile information can include diagnoses, health details or other sensitive information that you have entered.

Document storage, one-off analysis and ongoing context

Adding a file to the learner document area stores it; uploading alone does not request AI analysis.

Choosing a one-off action, such as analysing a work sample or using a document to update the learning picture, can send the whole selected file for AI processing. A report may contain personal or sensitive information about the learner and other people. Check it and remove unnecessary details before requesting analysis.

Asking AI not to include diagnoses in a result does not remove diagnoses from the source file before processing. Review the actual file and action rather than relying only on the output wording.

The document’s ongoing KaN-context setting is a separate permission governing subsequent use as context. A one-off analysis does not automatically mean that ongoing use is enabled.

Changing permissions

Agreeing to the Terms or acknowledging the Privacy Policy is not blanket permission for every use of sensitive information. Use the relevant learner and document settings and only authorise information you have permission to share.

You can change permissions for future processing. This does not undo a request already processed or automatically delete previously saved records, summaries or reports. Use available deletion tools or contact us about removing or correcting those items.

Review outputs

AI can produce inaccurate, incomplete, biased or unsuitable material and may express a conclusion more confidently than the evidence supports. Review questions, answers, calculations, observations, suggested activities and reports before using or sharing them.

Consider the learner’s circumstances, other evidence and appropriate professional judgement. Use suitable supervision and adjustments for practical activities. Correct or reject outputs that do not fit the evidence.

Educational and clinical limits

AI output is educational support, not medical or psychological diagnosis, clinical advice, an official school assessment or certification. A single work sample does not establish a learner’s overall level or potential.

KaN does not make a binding decision about enrolment, home education approval, eligibility for support, diagnosis or treatment. Do not rely on it as the sole basis for those decisions.

Providers and overseas processing

AI requests are processed through Base44 and providers it uses for AI services. The relevant prompt, file or learning context may therefore be received by those providers and processed outside Australia.

The Privacy Policy explains the service-provider roles and overseas handling. Contact the privacy contact if you need information about provider arrangements before supplying sensitive material.

Reports and learning records

Outputs saved through a feature can become part of the learner’s records and may appear in later plans, summaries or reports. Review saved information and check the final content before exporting or sharing it.

A prompt to avoid diagnostic labels is not a guarantee that every identifying or sensitive detail has been removed. The person sharing a report should check its content and recipient.

Raising a concern

If an output is inaccurate, inappropriate or exposes information unexpectedly, stop relying on it and report the concern through the support or privacy contact. You can ask for information to be corrected or removed where appropriate.

Questions or concerns? See our Contact & Privacy Complaints page, or raise a request from Account Settings (Legal & Privacy).
